Change orders, self-inspections and site registers for builders
Change orders, self-inspections, staff registers and timesheets on the phone, connected to Fortnox or Visma and built around how your crews work on site.
What usually gets in the way
Change orders that never get invoiced
The change is agreed verbally on site and written down afterwards, if at all. When it's time to invoice, the price, the photos and the client's approval are missing.
Binders, notes and three different apps
Self-inspections in a binder, timesheets on scraps of paper and the staff register in yet another system. Nobody sees the whole project.
Inspections without warning
The Swedish Tax Agency can visit the site unannounced. Each company on site answers for its own staff, and if one of yours is missing from the staff register, your company pays a control fee (kontrollavgift, a fixed penalty).
Actuals you only see at the end
Hours and materials reach the finance system long after the fact, so you don't see a project running over until it's too late to do anything about it.
What we can build for you
Change orders on the phone
Log the change on site with a description, photos and a price. The client approves it on their phone, and it lands on the right project.
About App developmentElectronic staff register
Everyone checks in and out on a phone or a tablet at the entrance, subcontractors included. The register is built to the Swedish Tax Agency's requirements for electronic registers, can be shown straight away at an inspection and is ready for the electronic transfer proposed from 2027.
About Business systemsSelf-inspections and safety rounds
Checklists with photos and signatures, saved to the right project and ready to hand over at the final inspection.
About App developmentTimesheets and site diary
Time and events are logged on the right project every day, and the same check-in can feed both the staff register and payroll.
About Time trackingInvoicing data and actuals against budget
Approved change orders and hours go to Fortnox or Visma, and you see how each project is tracking against its budget while it runs.
About Integrations
- What are ÄTA works (change orders) in Swedish construction?ÄTA stands for changed, additional and omitted work (ändrings-, tilläggs- och avgående arbeten): work that is changed, added or removed compared with what was agreed at the start of a construction project. ÄTA should be ordered by the client, priced according to the contract and documented when it happens. Otherwise it is hard to get paid for.
- What is a personalliggare (staff register) in Sweden?A personalliggare is a register of everyone working at a workplace and when each shift starts and ends. The Swedish Tax Agency requires it in industries including construction and restaurants, and on construction sites it must as a rule be electronic. If it is missing or incomplete, the Tax Agency can charge control fees.
Systems, standards and rules
- Staff register (personalliggare)
- The Swedish Tax Agency's rules for construction sites: an electronic register, with every shift logged as it starts and ends.
- ID06
- The ID card used on Swedish construction sites. Check-in can start from the card, so the right person and employer are recorded. Reading the cards normally requires an agreement with ID06.
- AB and ABT
- The standard Swedish construction contracts that govern how change orders are ordered and priced. The app follows what your contract says.
- Reverse-charge VAT
- Construction services between construction companies are often invoiced with reverse-charge VAT. The invoicing data can be marked correctly from the start.
- Fortnox and Visma
- Projects, customers and invoicing data sync with the finance system you already use.
- BankID
- Sweden's e-ID. The client can approve a change order with BankID when you want a clear signature.
How it works
Prototype and design system
Tell us what you want to build and we'll make a clickable prototype and a design system for it. Free, so you see what you get before you decide. If a project doesn't need a prototype, we do a free audit or workshop instead.
Needs, requirements and plan
We go through how you work today and what gets in the way. It becomes a requirements document and a plan where what makes the biggest difference gets built first, and a proposal with a fixed price per stage.
Kickoff workshop
Us, you and the people who'll use it, in one room. We agree what's included and walk out with a plan and the first stage under way.
Follow-up
We build in short rounds with a demo after each. After launch we follow up against the goals and improve what matters most.
Why a micro studio?
A construction company rarely needs a big system with a hundred features. A few tools that everyone on site uses are usually enough, and the same people are still here when you want to add the next one.
We are three people: Christos Potamitis, Olof Öhrn and Max Rosberg Somerlock. The people you meet in the first meeting are the same three who design, build and run it afterwards.
The same people all the way
Olof is your contact from the first meeting through the whole project, and the three of us work so closely that what you tell us reaches the people who build.
Quick decisions
Questions get quick answers and decisions get made in the meeting. You talk directly to whoever can answer, not someone who has to go and ask.
A fixed price per stage
The project is split into stages with a fixed price for each. You know what the next step costs before it starts, and you can change direction between stages.
A network for the rest
What we don't do ourselves, such as IT operations and infrastructure, is done by hand-picked partners. You still have one contact: us.
It also sets a limit, and we're honest about it. We take on a few projects at a time, and if we're not right for yours, we'll tell you on the first call.
Frequently asked questions
- In Swedish construction, ÄTA covers changed, additional and omitted work: everything that differs from what was agreed at the start. Each one needs documenting when it happens, or it's hard to get paid for.
- A personalliggare, or staff register, is a record of everyone working on a construction site and when they start and finish. The Swedish Tax Agency requires one when the building cost is expected to exceed four price base amounts (prisbasbelopp, a figure the government sets each year: SEK 236,800 in total for 2026), it should usually be electronic, and the agency makes unannounced checks.
- A self-inspection is when whoever does the work checks and documents that it was done right, for example with a checklist and photos. It's used at the final inspection and handover.
- Yes. Projects, customers and invoicing data can sync with Fortnox. If you use Visma or another finance system, we connect to that instead.
- No. If something works well today, it stays. We build what's missing and connect it to the rest, so nobody has to type the same thing twice.
