CRM, time tracking and client portals for consultancies
Clients, deals, time and billing in one system built around how you sell and deliver, with a client portal for your clients. For consultancies and agencies.
What usually gets in the way
Deals that live in someone's head
Quotes, follow-ups and renewals happen in email and spreadsheets. When the salesperson is away, the deal stalls.
Time that never gets billed
Consultants log time afterwards, on the wrong engagement or not at all. Every forgotten hour is revenue lost.
No view of utilisation
Who's free next month? Finding out takes three calls and a spreadsheet that's already out of date.
Off-the-shelf systems that don't fit
You pay per user for features you never use, and still miss the three you need.
What we can build for you
A CRM built around how you sell
Clients, contacts, deals and quotes with reminders, built around your sales process and connected to Fortnox.
About CRM systemsTime tracking per engagement
Consultants log time on phone or desktop, and approved time becomes invoicing data.
About Time trackingUtilisation and resource planning
See who's booked on what, week by week, and who has room for the next engagement.
About Business systemsA client portal
Clients sign in to see status, deliverables, documents and invoices.
About Client portalsReports that update themselves

About Automation & reportsReplace the old system
If you have your own system in Access or Excel that has outgrown itself, we rebuild it as a web app with the terms you use today.

How it works
Prototype and design system
Tell us what you want to build and we'll make a clickable prototype and a design system for it. Free, so you see what you get before you decide. If a project doesn't need a prototype, we do a free audit or workshop instead.
Needs, requirements and plan
We go through how you work today and what gets in the way. It becomes a requirements document and a plan where what makes the biggest difference gets built first, and a proposal with a fixed price per stage.
Kickoff workshop
Us, you and the people who'll use it, in one room. We agree what's included and walk out with a plan and the first stage under way.
Follow-up
We build in short rounds with a demo after each. After launch we follow up against the goals and improve what matters most.
Why a micro studio?
With ten or fifty consultants, the CRM and the timesheet decide whether the week adds up. We build them around how you sell and deliver, and as a small professional services firm ourselves, we know the day-to-day.
We are three people: Christos Potamitis, Olof Öhrn and Max Rosberg Somerlock. The people you meet in the first meeting are the same three who design, build and run it afterwards.
The same people all the way
Olof is your contact from the first meeting through the whole project, and the three of us work so closely that what you tell us reaches the people who build.
Quick decisions
Questions get quick answers and decisions get made in the meeting. You talk directly to whoever can answer, not someone who has to go and ask.
A fixed price per stage
The project is split into stages with a fixed price for each. You know what the next step costs before it starts, and you can change direction between stages.
A network for the rest
What we don't do ourselves, such as IT operations and infrastructure, is done by hand-picked partners. You still have one contact: us.
It also sets a limit, and we're honest about it. We take on a few projects at a time, and if we're not right for yours, we'll tell you on the first call.
Frequently asked questions
- An off-the-shelf CRM works well if your sales process looks like everyone else's. If you work in your own steps, sell complex engagements or want to avoid per-user licences, a CRM of your own can be both simpler and cheaper over time. We'll tell you honestly which fits.
- Yes. Approved time becomes invoicing data in Fortnox or Visma, and time and absence can go on to your payroll system.
- Clients sign in to see the status of their engagements, delivered documents, logged time and invoices. That means fewer status meetings and emails.
- Ideally you. We always propose that you own the system, the code and your data, and we're happy to support open source. If a project can't go all the way, the contract says so before we start.
Tell us how you work today
A first conversation costs nothing. We listen, ask questions and tell you honestly whether and how we can help.
